(due to the CRM system already in place at the company, which was adapted in-house to the new requirements, the company incurred only staff training costs of about PLN 750)

Description of the problem:
 
The diet catering company was burdened with a large amount of paper used for printing documentation (invoices to customers and contractors, internal orders, etc.) – more than 250 reams of paper per year (at a cost of about PLN 2,930); paper documentation was collected in binders, huge amounts of which took up storage space; invoices were also printed for customers

Applied solution:
 
It was decided to take advantage of the CRM system that had already been implemented and expand its scope in the company to include electronic circulation of documentation. As part of the project, 5 people from the Customer Service Office were trained to operate the system: generating electronic invoices for customers, as well as production reports, reports with meal packaging weights, and logistics reports with customer address data. The return on investment was estimated to come after 3 months.

Obtained benefits and effects of the implementation:

  • Reduction by about 95% of paper waste – after the introduction of electronic invoices and electronic circulation of documents; the company currently uses only about 12 reams of paper per year (before the project: more than 250 reams)
  • Annual savings obtained from the implementation of the project, estimated according to prices at the time of implementation: about PLN 2,790 (payback period: 3 months)
  • Saving time – previously needed to segregate documentation
  • Saving money spent on buying binders and punched pockets (costs not included in the above calculations)
  • Saving storage space needed for documentation storage.
